1. Who we are

Brookfield Estates Ltd (“Brookfield”, “we”, “us”) designs and builds homes and provides estate agency services for sales and lettings across Bristol, Bath and the surrounding villages, from our offices in Clifton, Bath and Keynsham.

We are the controller of the personal data described in this policy. We are registered in England and Wales (company no. [00000000]) and with the Information Commissioner’s Office (registration no. [ZA000000]). Our registered office is [registered office address].

2. The information we collect

We only collect what we need to help you. Depending on how you use our website, this may include:

  • Contact details: your name, email address and phone number.
  • Booking details: the type of appointment, your chosen date and time, and the property or plot address.
  • Buying and renting details: your budget, whether you have a mortgage in principle, your chain position and when you want to move.
  • Build enquiries: the location and size of your plot, your plans and your budget range.
  • Saved searches: the filters you choose and the email address for your alerts.
  • Technical data: your IP address, browser, device and how you use the site, if you accept analytics cookies.

3. How we use it

  • To reply to your enquiry and arrange viewings, valuations, lettings appraisals and build consultations.
  • To send booking confirmations, calendar invitations, and reminders 24 hours and 2 hours before your appointment.
  • To match you with suitable homes and send the property alerts you’ve asked for.
  • To prepare for a build consultation or site appraisal.
  • To meet our legal duties, including anti-money laundering checks when you buy, sell or let through us.
  • To understand how the website is used and improve it.

We never sell your personal data, and we only send marketing emails if you’ve agreed to receive them.

4. Our legal basis

  • Contract: when we need your details to arrange or carry out a service you’ve asked for, such as a viewing or a build consultation.
  • Legitimate interests: when we follow up an enquiry, keep business records or improve our services, and these interests don’t override your rights.
  • Legal obligation: when the law requires us to check or keep information, for example under anti-money laundering rules.
  • Consent: for property alerts, marketing emails and analytics cookies. You can withdraw consent at any time.

5. Who we share it with

We share personal data only when we need to, and only with organisations that protect it to the same standard:

  • Service providers: our CRM and property database, booking and calendar tools, and email provider.
  • Property portals: such as Rightmove, when you enquire about one of our listings through them.
  • Professionals: solicitors, mortgage advisers, surveyors and contractors, only when you ask us to introduce you or when it’s needed to complete a sale, letting or build.
  • Compliance: identity and anti-money laundering check providers.

Some providers store data outside the UK. When they do, we make sure suitable safeguards are in place, such as the UK International Data Transfer Agreement.

6. How long we keep it

  • Enquiries that don’t lead to an appointment: up to 12 months.
  • Viewing, valuation and consultation records: up to 2 years.
  • Sales, lettings and build records: 6 years after the transaction or project ends.
  • Anti-money laundering records: 5 years after our business relationship ends.
  • Property alerts: until you unsubscribe.

7. Your rights

You have the right to access the personal data we hold about you, ask us to correct or delete it, object to or restrict how we use it, ask us to transfer it to another organisation, and withdraw your consent at any time.

We’ll reply within one month. If you’re unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

8. Contact us

For any privacy question or request, email privacy@brookfieldestates.co.uk or write to the Data Protection Lead, Brookfield Estates Ltd, [registered office address].
